Oral Presentation Guidelines

Deadline for submitting your slides is June 4, 2026.  Slides should be in either pdf or powerpoint format and submitted to Kathleen Ballos at kathleen@ballos.com.

Presentation Guidelines:

Presenters are solely responsible for the creation of their presentation slides. The presentation should be based on the approved/accepted paper but may include updates and related additional content. A paper must be presented otherwise it will not be published and archived in the IEEE Xplore database. Only listed authors on the schedule may present their papers.

In-person presenters should plan to use the conference-supplied computers to present their material. Virtual presenters will present from their own personal computer.  Power Point and PDF are the acceptable formats. ALL presentations are to be submitted to kathleen@ballos.com by 12:00 noon on June 4, 2026.  No personal computers will be allowed for in-person presentations! PLEASE REMEMBER TO BRING A BACKUP OF YOUR PRESENTATION WITH YOU!!! USB thumb drives are the only acceptable form of media to load on to the conference computer.

For a successful and productive conference all presenters should adhere to the following guidelines:

  • All presentations are to be in English. The presenter should be able to understand and respond to audience questions in English.
  • Presentations are to be 15 minutes, inclusive of 1 or 2 minutes for questions.
  • Use large enough fonts so that the material can be seen clearly from the back of the room (~60 ft).
  • Avoid crowded view graphs, which are difficult to see and explain.
  • No more than 5 to 6 points should be made on a single slide, so please break up material.
  • You may use your affiliation’s standard slide template for your presentation.

Presenters are reminded to dress professionally.  Contact the Technical Program Chair, Riddhi Shah at shahriddhi717@gmail.com immediately if you are unable to attend the conference.

Good luck and enjoy this unique experience.
